Our Commitment to Fair Billing

At Zippyyy Solutions, we believe in transparent, milestone-based billing that protects both our clients and our business. We understand that circumstances change, and we've designed our refund policy to be fair, flexible, and aligned with the work completed at any given point in the project lifecycle.

Milestone-Based Payment Structure

Our projects are structured around clearly defined milestones and deliverables. This approach ensures:

  • Payment is tied directly to completed work and measurable progress
  • You only pay for work that has been delivered and approved
  • Clear checkpoints for evaluating project satisfaction
  • Flexibility to adjust or discontinue services at natural transition points

Each milestone represents a distinct phase of work with specific deliverables, timelines, and associated costs as outlined in your project agreement.

Project Cancellation and Termination

Client-Initiated Cancellation

We understand that business priorities evolve. Should you need to cancel or pause your project at any time, the following terms apply:

Before Contract Signing

If you decide not to proceed before signing a formal project agreement, there is no financial obligation. Any consultation fees paid separately are non-refundable.

After Contract Signing

Once a project agreement is executed, both parties commit to the engagement in good faith. However, we recognize that circumstances may require project termination. In such cases:

  • Completed Milestones: Payment for fully completed and delivered milestones is non-refundable, as this represents work that has been performed, reviewed, and accepted.
  • Work in Progress: For milestones currently in progress, you will be charged only for the work completed to date, calculated on a prorated basis rather than the full milestone cost.
  • 未started Milestones: No charges apply to milestones that have not yet begun.

Service Dissatisfaction

Your satisfaction is important to us. If at any point you are dissatisfied with our work quality, deliverables, or communication:

  • We encourage immediate communication so we can address concerns and make necessary adjustments
  • We will work collaboratively to resolve issues before considering termination
  • If resolution is not possible and you choose to terminate, you will only be charged for work completed up to that point, plus a nominal administrative fee to cover project setup, planning, and documentation costs

This nominal fee is significantly lower than the full project cost and is designed to cover our initial investment in understanding your requirements, creating project documentation, and setting up necessary infrastructure.

Flexibility to Pause or Resume

Rather than complete termination, clients may choose to:

  • Pause Services: Temporarily suspend active development while retaining the right to resume later. Note that extended pauses may require project reassessment.
  • Adjust Scope: Modify remaining milestones to better align with changed priorities or budget constraints.
  • Transition to Maintenance: Complete the current phase and transition to an ongoing maintenance or support arrangement.

These options provide flexibility while maintaining project continuity and protecting work already invested by both parties.

Refund Processing

Calculating Refundable Amounts

In the event of project cancellation, any refundable amount is calculated as follows:

  • Total project cost minus completed milestone payments
  • Minus prorated charges for work in progress
  • Minus applicable administrative fees
  • Minus any third-party costs already incurred (hosting, licenses, etc.)

Refund Timeline

Approved refunds will be processed within 14 business days of cancellation confirmation. Refunds will be issued to the original payment method unless otherwise arranged.

Non-Refundable Items

The following are non-refundable under all circumstances:

  • Discovery and consultation fees paid separately from project costs
  • Third-party expenses (domain registrations, hosting, software licenses, API fees, etc.)
  • Completed and delivered milestone work that has been approved
  • Custom development work that has been deployed to production
  • Marketing campaigns that have already been executed

Company-Initiated Termination

In the rare event that we must terminate a project due to:

  • Non-payment after repeated attempts to collect
  • Client's failure to provide necessary resources or information
  • Violation of our Terms and Conditions
  • Behavior that creates an unsafe or unprofessional working environment

You will be charged only for milestones completed to date, with no refund for those payments. Remaining amounts paid for incomplete work will be refunded minus any administrative costs.

Dispute Resolution

If you disagree with charges assessed upon cancellation or termination, we commit to:

  • Providing detailed documentation of work completed and time invested
  • Engaging in good-faith negotiation to reach a fair resolution
  • Considering mediation before pursuing legal remedies

Our goal is always to resolve disputes amicably while maintaining fairness for both parties.

Subscription and Recurring Services

For ongoing services such as website maintenance, SEO, or digital advertising management:

  • Services may be cancelled at any time with 30 days' written notice
  • You remain responsible for payment through the end of the notice period
  • No refunds are provided for partial months of service
  • One-time setup fees for recurring services are non-refundable

Changes to This Policy

We reserve the right to modify this Refund Policy at any time. Changes will be posted on this page with an updated revision date. However, any changes will not affect projects already under contract unless mutually agreed upon in writing.
